Accounting entries are the official records of your financial transactions, and are associated with source documents, such as customer invoices and customer receipts. After a source document is finalized, you generate the accounting entry for it in one of the following ways:
The Accounting Entry page is intended primarily for viewing. You cannot manually create or edit accounting entries. Instead of using the Accounting Entry page to enter accounting entries, you can complete the following tasks:
Before you create accounting entries, verify the following items are created:
When a source document is finalized, a check mark is displayed in the Finalized checkbox, and a date and time is displayed in the Finalized Date field. After finalization, the document is protected, and you cannot directly change it. However, within certain limits, you can unfinalize a document to change it. For example, you can unfinalize a source document after its accounting entry is created if the GL area and the period for that document are still open.
Source documents, when finalized, generate accounting entries. The following table shows the finalization timing for each source document.

| Inventory Change | Finalization automatically occurs when the inventory change is created. |
| Intercompany Invoice | Finalization occurs when you select the Finalized checkbox and save the intercompany invoice. |
| Intercompany Payment | Finalization occurs when you select the Finalized checkbox and save the intercompany payment. |
| Journal Entry | Finalization occurs when you select the Finalized checkbox and save the journal entry. |
| Receiving Document | Finalization automatically occurs when the receiving document is created. |
| Supplier Invoice | Finalization automatically occurs after you approve the supplier invoice. |
| Supplier Payment | Finalization automatically occurs when the supplier payment is created, and the supplier payment is applied. |
Complete the following procedure to generate accounting entries from multiple source documents (for example, customer invoices).
All, and click Go!When a source document is complete, a check mark is displayed in its Finalized checkbox, and a date and time is displayed in its Finalized Date field. These field values indicate that the source document is eligible for accounting.
A message is displayed to indicate that the batch job is started.
Complete the following procedure to generate accounting entries for all source documents of a certain type.
If a generated accounting entry has exceptions (for example, if the credit and debit totals are not equal), its Has Exceptions checkbox is selected. Exceptions are displayed in the Open Activities related list for the source documents.
All, and click Go!When a journal entry is complete, a check mark is displayed in its Finalized checkbox, and a date and time is displayed in its Finalized Date field. These field values indicate that the journal entry is eligible for accounting.
The Generate Accounting Entry page is displayed showing information about the accounting entry, the accounting entry lines, and the accounting rules applicable to the accounting entry lines.
Note: On the Accounting Entry Lines page, the Amount DR and Amount CR field values for the journal entry lines are automatically rounded to 2 decimal places. This rounding addresses decimal variances that might create exceptions due to debits and credits that do not equal. However, the amounts in the database are stored to a precision of 6 decimal places.
On the Accounting Entry detail page, you can manage exceptions for the accounting entry. You can view the exceptions for an accounting entry in the Exception Information related list. To clear the exceptions, you can correct the source data (the source document information or the accounting rules, depending on the source of the exception), and then regenerate the accounting entry.
The following table lists the fields that Kenandy provides. Your system administrator selects the fields that are displayed on your user interface.

| COMP Functional Total CR | The total credit amount for the accounting entry in the functional currency for the company ledger. The company ledger is a ledger for the legal entity accounts in the functional currency of the company. |
| COMP Functional Total DR | The total debit amount for the accounting entry in the functional currency for the company ledger. |

| Posting Date |
The date and time that the transaction is posted to a GL account. This field value is automatically updated with the finalized date and time. If you backdate this document by selecting a transaction date and time for a prior period, then this field value is automatically updated if the GL area for the prior period is currently open.

| Validation Ready | An indication of whether the accounting entry is ready for validation. The accounting entry is ready for validation when the Valid After date in the period for the relevant GL area has passed. |
