7.3.3 Inviting colleagues to join a group via email

A group owner and any additional group managers may also send email invitations to join a group. Via email, you can even invite friends or colleagues who are not yet Polar Cloud members to join your group (becoming Polar Cloud members in the process).

At the group’s “MEMBERS” screen, click the “INVITE” button; see Figure 7.20. At the resulting drop-down menu, click “Send emails”; see Figure 7.25.

At the “INVITE MEMBERS VIA EMAIL” pop-up screen, enter the email addresses of the people you wish to invite to join your group, and then click either the “INVITE MEMBER” button or the “INVITE MANAGER” button, according as to whether you wish to invite the individuals to join your group as ordinary members or as group managers; see Figure 7.26.

The invited person will receive an email invitation from the Polar Cloud; see the example of Figure 7.27. The invited person may click the embedded link, use their preferred credentials (Google, Facebook, or Microsoft Live) to login, and then will be presented with a Polar Cloud screen asking whether the person wishes to “ACCEPT” or “DECLINE” the invitation; see Figure 7.28.

Note that the link in an email invitation is only valid for one-time use, and will expire after a certain time period (currently approximately half a year) if the email recipient does not make use of it.

If a pending email invitation has not yet been accepted, note that group managers may cancel it by clicking on the pending invitee tile’s “CANCEL” button; see Figure 7.29. (Note that this invalidates the invitation link in the email, but cannot retract the sent email; the email recipient will still see the invitation, but clicking on the link within the email will no longer work to add the recipient to the group.)
