Roster: Mass Deactivate Platform Data

Note: Only district administrators are allowed to clear centralized user store data. School administrators are not allowed to clear data and do not see this page.

What is this step and why is it needed?  

This step allows you to remove old data from the HMH system so that the next set of imported data files will be the single source of truth for your organization's data set.

Keep in mind that this will mass deactivate rostering data so that if users match on next import, only those accounts will be reactivated.

We recommend that you clear all data on your platforms in the following instances:

      At the start of a new school year
As part of your initial load for the new school year, you should ensure that all your organization’s old data is removed and in direct alignment with your next import.
Be aware that clearing your data after the school year has started has the potential for data loss across assignments and assessments.

      To remove manually entered data
For example, your organization had manual entry open and duplicate records were created; now you want to turn off manual entry and make sure all data comes from the imported data process.

      If you are changing rostering providers or any vendor change
(For example: you were using Clever CSV and move to Clever API or were on Clever and moved to ClassLink or were on Powerschool and moved to Clever.) HMH compares the last two imported data sets for delta changes, but that is only in the context of the same imported type. When you load a new import type, the old data remains and the new data set is simply added to the old data. For example, if you rostered with Clever for 250 days, and then on day 251 you moved to ClassLink, the system has nothing to compare the new ClassLink import against because it does not look for deltas across vendor changes. In this case, you would retain the Clever loaded data from import 250 and then the new ClassLink data from 251 is added.

      If you migrated users from NWEA to the centralized data store

 

Note: This step will NOT remove administrators on Ed, Flight, NWEA, ThinkCentral, or Holt McDougal Online at this time. We recommend manually removing those accounts in the platform UI before importing.

 

FAQs

      What is meant by "clear your site"?

Clearing your site varies depending on the platform in use:

      ThinkCentral and Holt McDougal Online content will “deactivate” data, which allows you to still see the data and reactivate the data if you desire.

      Ed, Flight, and NWEA will also deactivate and as long as the same rostering ID and/or email are used; on your next import, we will reactivate those accounts that can retain historical data.

 

      How can I export historical data before clearing my site?

You only need to export data if previous (historical) data is required. In most cases, assignments from previous years are not required in a new school year.

      How do I clear out administrator accounts?

Deleting administrator accounts must be done manually using the platform pages. Depending on the platform, see the following for details:

Step-by-Step Instructions

To clear your data:

 

1.    Navigate to this page by clicking through the Advanced Rostering Wizard until you get to the Prepare for your roster setup page.

 

2.    Select the option button Yes, choose which data to clear. The Clear data from section appears.

 

The options include clearing all teacher, student, class, and roster data or just student and roster data.

 

3.    Select one of the option buttons to specify the data to clear:

      All teacher and student accounts, classes, and rostersThis is the most common step customers who import data for students, teachers, classes, and rosters perform as part of the new school year rollover.  

      Student accounts and rosters onlyIf you are a district that only imports students and/or teachers but allow your teachers to manage their own classes, this is the best option for you to complete as part of the new school year rollover process.

 

4.    Click Next and confirm your selection in the confirmation dialog box.

This starts the deactivation process, and it cannot be stopped once it is started.
