You can track items by attribute, such as lot, expiration date, or serial number. If you choose to apply attributes to some or all of your items, you are prompted for that information at various points in the item's lifecyle. For example, when you receive it, manufacture it, or ship it.
Create records for a single or a combination of attributes, depending on how you want to track your items. You must also create a “No Attribute, Not Tracked” record that doesn’t track any attributes, which you assign to items that you're not tracking by attribute.
The Kenandy Configuration Guide describes how to create custom item attributes. This guide is available on the Kenandy Community.
To categorize items for accounting purposes, use classes, not item attributes.
To watch a video about using the Inventory Transfer and Update page to update item attributes:
Add item attributes before you add the item into inventory. If the item exists in inventory you cannot add or remove attributes from the item.
Note: You cannot add any item attributes to an item with its type set to Outside Processing.
As the item moves through your processes, for example when you receive it against a purchase order or when you complete it against a work order, you are prompted for the attribute's value. For example, the lot or serial number.
The item attributes Rental and Used allow you to differentiate between different types of inventory items. If an item is designated for use as a rental, it is not available for sale. When you fulfill an order for an item with the Rental attribute, the appropriate inventory is fulfilled, and the transaction is correctly accounted for.
Serial tracked units can have attributes, such as mileage, hours used, or some other quality measurement. If you choose to apply an attribute to a serial tracked unit, you are prompted for that information at various points, for example, when you receive it, manufacture it, or ship it.
The Kenandy Configuration Guide describes how to create custom serial attributes. This guide is available on the Kenandy Community.
When you create a new item, you can apply the new serial item attribute to it. Later, when you allocate the inventory to an order, you can select inventory that matches the customer requirements.
The following table lists the fields that Kenandy provides. Your system administrator selects the fields that are displayed on your user interface.
| Field | Description |
|---|---|
| Date Received |
Select this option on item attributes you plan to use to track items by date received. For example, select this option if you're creating an item attribute for FIFO (first in first out) or LIFO (last in last out) inventory items. |
|
|
The expiration date attribute. This attribute is used to track items by expiration date. You are prompted for the date when the item is received. |
| Item Attribute Name | The name of the item attribute. |
| License Plate Number |
Select this option only for item attributes that you plan to use with container items that will be LPN-tracked. For example, if you're creating an item attribute to use with a container item named White Wood Pallet, select License Plate Number. |
|
|
The lot number attribute. This attribute is used to track items by lot. You are prompted for the lot number when the item is received. |
|
|
The minimum shelf life attribute. This attribute is used to validate the expiration date against the customer's acceptable range. You are prompted to enter the shelf life when the item is received. |
| Rental |
The rental attribute. If this field is selected, the item is for rental purposes. The sales order line includes this attribute. To change a non-rental item into a rental, link it to a fixed asset, which generates an inventory change and transaction (Inventory to Asset). |
| Used | The used attribute. If this field is selected, the item has been used, but is available for sale. The sales order line displays the used status. |
| Serial Number |
The serial number attribute. This attribute, when used in conjunction with the Serial Control setting, is used to track items by serial number. You cannot turn off serial number tracking for an item (unless there is no inventory). |
