Cross-reference donors to no be merged
How can I tag a pair of donor accounts to not be merged?
- Sometimes you will find a pair of donor
accounts that should never be merged, despite being reported as suspected
duplicates, e.g. family members or friends at the same address.
- It is possible to suppress merging
a pair of accounts and to exclude them from the “Search Duplicates”
report in the future.
- Open “Input… Donors/Pledges/Payments”
and find one of the accounts.
- Click on the [Cross Ref.] tab page
- While the cursor is at "Account#"
press the <Page Down> key to search cross references, or click
on the [...] button at Account# to view a list of cross-references.
Look for the pair of accounts that are not to be merged. See if they
are already cross referenced. If you find that the two accounts already
have a cross reference, display the cross-reference record, then skip
to step 7. Otherwise...
- Press F2 to clear the [Cross Ref.]
tab page. Type in the other account number (the account that is not
the displayed donor’s Account number. Press [Enter] to display the
other donor’s name.
- Check the box labeled “Check if displayed
donor and cross reference have the same name/address but are not duplicates
to be merged.”
- Press F4 or click [Save] up on the
task bar to save the new or edited cross reference.
- Once the pair of accounts are linked
as indicated above: [A] the pair of accounts will no longer be listed
as suspected duplicates in the “Search Duplicates” report; [B] it
will not be possible to merge the pair of accounts.
How to untag a pair of donor accounts, permitting them to be merged
- If you open “Input… Merge Duplicates”,
enter a pair of account to be merged, but when you process the merge
get an error message… It's not an error, it is an advisory caused
by the two accounts having a cross reference which declares that they
are not duplicates. If that is not true...
- Please open “Input… Donors/Pledges/Payments”
- Find the donor with the account number
to keep.
- Click on the [Cross Ref.] tab and while
cursor is at Account# start pressing the <Page Down> key, to
view cross reference records for that account. Otherwise, click on
the [...] button at Account# to view a list of cross-references. You
should find one whose other account is the one you wanted to merge.
Display that cross-reference on the tab page.
- Please look at the check box reading
"Check if displayed donor and cross reference have the same name/address
but are not duplicates to be merged". The merge stop message
means the box is checked, which blocks a merge.
- If you are certain that the pair of
accounts should be merged: Uncheck the box, and press F4 to update
the cross reference record.
- Retry the merge, using “Input… Merge
Duplicates”.
