Message size limits are an important mechanism to control mailbox sizes, guarantee service availability, and protect from potential DoS attacks. The organizational send and receive size limits apply to all Exchange servers in the Organization.
You don’t need another IP address to create a separate Receive Connector with different settings.
You don’t have to use a non-default port when using the same IP address to create a separate Receive Connector. You can create a Receive Connector using the same IP address + port number, but using different RemoteIPRanges to specify the remote hosts that can connect to it. Send Connectors are used for sending outbound messages to the internet or particular address spaces (domains). This is perhaps one of the most misunderstood part of message size limits, and therefore a frequently asked question: when you specify individual message size limits for a recipient, does it override other message size limits in your Exchange organization?
In a nutshell, setting higher message size limits on an Exchange recipient bypasses the maximum message sizes in the Exchange Organization configuration, but only for internal messages, not for messages sent to or received from the Internet and other unauthenticated sources. Remember, for a message to be delivered successfully, the message size must be within the max message size limits applicable to both – the sender and the recipient. The problem is, these are neither visible in the EMC, nor using any of the Exchange shell commands.
If you still have an Exchange Server 2003 server in the Organization, you can use ESM to modify these limits. When troubleshooting message size-related issues, the content conversion process was another source of confusion. You can use the Exchange shell to track messages that could not be delivered because of message size issues. Exchange MVP Michel de Rooij has published a Configure-ClientSizeLimits.ps1 script to allow you to configure message size limits affecting OWA and EAS clients. Worked great, although I had to restart Outlook on the machine that was expecting the large attachment before it would pick up the new settings from the Exch server. My question is what will happen to the mailboxes that are above 200MB when I set the DB limit to 200MB? Well, if I understood right, if I change the size limits for an specific user(mailbox), it won’t override the limits applied in my Organization if the email is to be sent to the internet.
Now, even if I attach a file in Outlook and it is bigger than 10MB, Outlook shows an error message saying that I do not have rigths to send larger files.

I am a definite newbie to Exchange, which is why this I thought I could do a good job creating this documentation for newbies. I am writing this primarily for myself as a cookbook for future Exchange installations.  It is provided WITHOUT WARRENTY OR GUARANTY OF ANY SORT.  USE AT YOUR OWN RISK!
Log into the account using Outlook 2007 (or newer).  If you already have an Outlook profile on the machine you are using, you will need to go to the MAIL applet in the Control Panel and Create a NEW profile.
So, simply launch the Exchange Management Shell, expand RECIPIENT CONFIGURATION, click DISTRIBUTION GROUP.  Then click the NEW DISTRIBUTION GROUP link in the Action Pane and follow the obvious prompts. In the result pane, right-click the Mailbox server for which you want to schedule the managed folder assistant, and then click Properties.
In the Schedule the Managed Folder Assistant box, select Use Custom Schedule, and then click Customize. In Schedule, select the times and days during which you want the managed folder assistant to run and click OK to Finish.

Note if you get an error message with this command you likely have entered dates which are not contained in your logs (i.e. JUNK THRESHOLD: According to the Best Practices Analyzer and THIS article, you need to lower the Spam Confidence level via the Exchange shell to a rating of 4 (down from 8).
Service Pack 2 (SP2) adds the ability to backup and restore Exchange databases using Windows Server Backup.  If you need more information, read THIS. If the backup or restore is having issues go to the server that is hosting exchange and run VSSADMIN LIST WRITERS from the command line.

Your Exchange 2010 server may need a few settings changed if you want to receive mail of this size.

What turned out to be causing this issue was that the phone was set to a time zone that had daylight savings where the exchange server was set to a timezone that didn’t. In this article I want to look at mailbox quotas in Exchange Server 2010, specifically covering why they are important to the initial sizing performed during an Exchange Server 2010 design and then moving on to look at operational considerations. One of the numerous key decisions you make when sizing an Exchange Server infrastructure is to determine the mailbox size that you will allocate to your users.
To ensure that users do not exceed the specified mailbox size that was used to size the overall system, we can set mailbox storage quotas. You can configure the system to send the user an initial warning message at a particular mailbox size. As well as using the Exchange Management Console, it is also possible to use the Exchange Management Shell to view the mailbox storage quotas as you can see in Figure 1-3.
You might have noticed from Figure 1-2 and Figure 1-3 that the mailbox storage quotas shown are the default quotas set after Exchange Server 2010 has been installed. Setting mailbox storage quotas on the properties of a mailbox database is a very efficient way of ensuring that mailbox storage quotas can be assigned to many users at once and certainly cuts down on the administrative overhead. The same Exchange Management Shell mailbox quota parameters that we saw for a mailbox database earlier in Figure 1-3 are also available for an individual mailbox as you can see in Figure 1-5.
Now that we have seen how we set the quota settings at a mailbox database and at an individual mailbox level, let’s now have a look at the various messages that a user receives as a result of mailbox storage quotas. Of course, these quotas are really low purely for demonstration purposes in my lab environment.
That completes part one of our look at mailbox quotas in Exchange Server 2010, where we have covered topics on sizing, configuration and what the end user actually sees in their mailbox when the warning message is issued. Another commonly asked question is about message size limits and the inability to send messages that are apparently within the maximum sizes configured. For example, you can create a Receive Connector for a set of remote hosts and specify a different message size to allow those hosts to send larger messages, or to restrict them to smaller messages. Edge Transport servers also have a Send Connector to send inbound messages to Hub Transport servers in an AD Site. The RecipientStatus field in Message Tracking logs is used to store the SMTP response and enhanced status codes. Note; unless you have the BackupExec Active Directory agent, there is no way to have BUExec create the account for you so you do need to create a new user. That means that with mail clients like Gmail that tend to strip the header css out then your template will work just fine.
Many years ago mailbox storage quotas were a very important aspect to consider since disk space wasn’t cheap and mailbox sizes were often of the order of a few hundred megabytes in size, or even smaller in some cases.
This is performed in the Exchange Mailbox Role Calculator and an example is shown in Figure 1-1 where you can see that a 1GB mailbox is being sized for 1000 users. Mailbox storage quotas can be set on the properties of a mailbox database such that the quota applies to all mailboxes housed on the particular mailbox database.


You can also configure the ability to prevent users from sending new messages, as well as also receiving new messages, at a particular mailbox size. However, there will typically be occasions where you will need to configure mailbox storage quotas on a per-user basis and this can be achieved via the Exchange Management Console or the Exchange Management Shell.
The exception is the QuotaNotificationSchedule parameter since this is controlled at the mailbox database level rather than at the individual mailbox level. For the mailbox with these settings, the user will receive the message shown in Figure 1-6 when their mailbox exceeds 10MB in size and they are using the Outlook Web App (OWA) client. In part two, we’ll look at quota message characteristics, creating custom message text, mailbox quotas for archive mailboxes and finally diagnostics logging in relation to mailbox quotas.

Let’s take a look at the message size settings in different places in Exchange 2010 and Exchange 2007. For example, a Receive Connector for inbound Internet mail may have lower message size limits, but you may want to allow larger messages on Receive Connector for authenticated senders, partners or scanners and multi-function devices that can send large scanned images or PDF files. If the message size to be delivered to a remote AD Site exceeds the limit on the AD Site Link, message delivery will fail. Messages exchanged between these Routing Groups should be below the message size limits of their respective RGCs. When considering message size limits, if the message has since ballooned to a larger size due to content conversion, added headers, etc.
You can find all Exchange Online limits, including message size limits, in a single, comprehensive doc – Exchange Online Limits. But I tried to increase the size in my Organization and even with that it didn’t work. The experience has been that the issue will be with the Microsoft Exchange Writer and the Shadow Copy Optimization Writer. We have found it makes the world of difference to businesses still running traditional POP or IMAP email services. With shared contacts, if a staff member in the company updates a contact with some new details, it updates for everyone. The mobile devices then communicate back to the main office through the internet to keep in sync. Then I realised that Mailchimp was exhibiting the same issues as GMail was when Mailchimp was not in preview mode. By this stage I knew I had ShadowProtect Backups of the entire server so I decided to recover the exchange from a short while before it locked up.
They suggest innovative ways to help advance your office technology and implement it with minimum of fuss. However, implementing mailbox storage quotas is still a very important consideration today as we shall see, even if mailboxes in the multi-gigabyte size range are the norm. The mailbox size is used with other sizing parameters to determine, amongst other things, how much storage your solution will require. This can be seen in Figure 1-2 and here we can see the database properties as viewed in the Exchange Management Console. Also of interest in Figure 1-2 is the warning message interval setting, which is set to 1am by default.
The Exchange Management Shell parameter that matches the warning message interval seen in the Exchange Management Console is QuotaNotificationSchedule. This means that it is very important to ensure that you reconfigure the mailbox storage quotas after the installation of Exchange Server 2010 unless, of course, you plan on giving your users the exact same mailbox storage quotas that you see in Figure 1-2.
For example, in the Exchange Management Console you can access the properties of a user’s mailbox and navigate to the Mailbox Settings tab.
Choose the Redirect mailboxes or public folders box and the Redirect mailbox sets radio button.

This is the perfect solution where a file server or database server is also required on-site. They’re also available at the drop of a hat which is really important when running a business. Allowing users to exceed their mailbox storage quotas may well lead to bigger issues later, such as disk space exhaustion on the partition housing the mailbox database. As you might expect, all of these values can be altered by using the Set-MailboxDatabase cmdlet with the relevant parameters. Giving your users larger quotas than you originally planned in the Exchange Mailbox Role Calculator could mean your mailbox databases becoming much larger than planned. From here, double-click the Storage Quotas option and you’ll be presented with a window similar to the one shown in Figure 1-4.
Also, you might be wondering what happens if a user has the prohibit send and receive mailbox quota set, their mailbox is full, and a new warning message is triggered for that user. Remember that you are deleting conversations so every message will be deleted from all folders including sent items! After uploading several changes I realised that there was an issue with the way GMail was handling images. I recommend Ian and his team to anyone in business or even for those with a home computer that want it working more efficiently. You may want to consider changing this value if, for example, you’d prefer to see the quota message nearer the top of the users’ inboxes when they next access their mailboxes in the morning.
This window is largely the same as the one you saw in Figure 1-2 but allows you to configure mailbox storage quotas on a per-mailbox basis by overriding the Use mailbox database defaults setting. In this case, the message is still delivered to the mailbox because these types of system message are excluded from any mailbox quotas.
Depending on your company’s needs, you may not need an on-premises server and could consider a hosted exchange solution. In such a scenario, you might consider changing the warning schedule to 7am or a similar time. Of course, that may not be desirable if you are operating a 24x7 environment where users are accessing their mailboxes at all times of the day and night. In those situations, some organizations may prefer to send multiple warning messages per day and this can be configured via the warning message interval setting.
