One of the best ways to make family members and employees feel wanted and safe is to install a state of the art emergency notification system; in fact, through current technology, notifications can be sent via fax, email, text or phone calls.
For a college or university setting, mass notifications can be sent out via text message, voicemails, emails and faxes. An early notification system can keep employees informed, save lives and help avert disasters. I am a big fan of turning off e-mail notifications in Outlook, particularly the blue notification rectangle that announces new mail in Outlook versions 2003 and later (officially called the Desktop Alert in Outlook).
The trouble with that box is it displays just enough of the message to suck you in completely, thus truly doing a great job of wrenching your attention away from higher priority work. In Outlook 2010 and 2013, go to the File tab, then select Options on the middle left edge of the backstage window. Then scroll the right side down to the Message Arrival section, as shown on the right of image above. In the E-mail Options dialog that pops up, click the Advanced E-mail Options… button as shown below. In the Advanced E-mail Options dialog box, as shown below, my primary recommendation is to clear the checkbox labeled Display a New Mail Desktop Alert; but consider clearing all four checkboxes as indicated below.
For the Mac version of Outlook, use the Outlook menu on the top menu bar, then Preferences, then in the Personal Settings section choose Notifications & Sounds.

But the E9-1-1 database includes only traditional wire-line telephone numbers in the state (the “land line” phone you may have in your home). So as these things pop up every 5 or 10 minutes, or even more often, guess what—your productivity is getting hosed (even if you do not stop and open the mail item). In the E-mail Options dialog that opens, clear the checkbox called Display a Notification Message When New Mail Arrives. For example, if a flood were likely, residents of a community could be warned it time to evacuate. If a school were suddenly closed for the day, then students or parents could be told not come to school, or told to report to an alternate location. When notification services are used for emergency notification, they are often called Emergency Mass Notification Services (EMNS).
