Junxure SharePoint Interface

Requirements.

Server 2003 or Server 2008 with SharePoint 3.0 installed and working.

SharePoint 3.0 WSS is a free program provided by Microsoft and it will install on either of the above listed server.  You can obtain it from Microsoft at

SharePoint Server Configuration and Logon Permission

 

Information Description Sample
Username This will be the name of a user that has full admin permissions in SharePoint.  We need full permissions because we will be adding sites, folders and fields.  
Password This is the password for that user.  
Admin Email This is required when we build the new Junxure site.  
Domain This is the URL for the main domain on your SharePoint server http://2003Server/default.aspx
SharePoint URL This is the URL for you SharePoint Site. http://2003Server
Admin URL When SharePoint is installed, it will create an admin site on the server, but it will be accessed on a different port.  This URL will have the port included in it. http://2003Server:46487/Default.aspx
Admin Port Enter the port for your Admin SharePoint site.  This can be found by logging into the "SharePoint Central Administrator" from the servers Administrative tools. 46487

Setting Up Junxure to work with SharePoint

System Options | Global Options | Document Imaging - This will bring up the document imaging setup form.  Select SharePoint from this form and then click "Configure SharePoint"

That will take you to the SharePoint Configuration and test tool.  This tool will be used to Configure and test your SharePoint interface.

Setup Tab

The setup tab is where you enter the required information that was listed above.  In this sample, I have used my server "2003server" and the admin port of 46487.  Since SharePoint creates a new port for every SharePoint installation, yours will probably not be the same as my, you will need to check what your is from the "SharePoint Central Administration" on the server.

Once you get into the Central Administration, select Site Actions and Site Settings

That will open the Site setting screen and there you will find the settings for your Admin Site.

 

Once you have entered all of the information for your server, you can check your connection.  All we are doing it checking the connection to the Admin Web service.  We check this by asking it for the languages installed.  It should just give a message box similar to the one below.  If you see that then we know that you have entered the proper information.

 

Build Site Tab

The default installation of SharePoint will look like this.

The Junxure interface will create a new Sub Site and all of the information that Junxure will be putting into SharePoint will be placed into this new Sub Site.  The default name for the new Site is "Junxure'

The URL for the new site will be http://servername/sites/junxure.  In the case of our example it will be http://2003server/junxure.  To create the site, you will click on the "Add Site Junxure button on the Build site tab.

Once you have entered the settings for your SharePoint server, you will need to build the Junxure Sub Site in SharePoint.  This will just build a default sub site called Junxure.

 

Once you build your site, you can click the "Open Junxure Site" button and you should see a browser open and your new Junxure sub site should be visible.  At this point it will look exactly like the default site but the URL will be different.

Now we need to build the 3 Shared Document Libraries.

Company Files - This is where you can put any documents related to a client.  We are only going to build the folders that will hold the client folder, not the actual client folders.  That will come later.

Merghist - This is where Junxure puts all of the files that are created during a mail merge.

Docs - This is where Junxure will put all files that are created from an action.

Click the "Init Site" button and it will go thru the motions of creating the folder and field.  Watch the status bar at the bottom to see it in progress.

Now if you open your site you will see the new folders.  By default the new Shared document libraries will not be on the quick start menu on the left, to see then you will have to click the View All Site content link and they will show on the right.

 If you want to make them appear on the left menu you will have to do the following.  Click the Shared Document Library that you want on the quick bar, and it will open that folder.

Here I clicked the CompanyFiles folder and this opened

Click on Document Library Settings and you will see this screen.  Click  Title, description and navigation under General Settings 

and you will see this form open

Click the Yes under navigation and then click Save,  Now CompanyFiles will now be visible on the quick start menu.  Notice the red arrow.  Do not change that name or Junxure will not work properly.  If you want to use another name, you need to enter that name in the top of the setup tab before you build the sites.

Once you save it you will see the Company files on the Quick start menu.

At this point, your Junxure SharePoint Sub Site is setup and ready for use.  To make things work a bit smoother, you may want to build the client folders before you proceed any further.

 

Test Functions Tab

Function on this tab

Build Folders  -This will allow you to build the folders for a single client or all people classified as Client.

Open Client's Site - Once you have build the folders for a client, you can open that clients folders from this button.

You can also upload a file to a clients folder. This is for testing the upload function for a single file to this client.

Edit field - used for testing only, incase we need to troubleshoot.

Build Folder

This part of the program, uses the same folder list that is used to build the regular folder in Junxure, but it will build them in your SharePoint Site.

Click the "Test Function Tab" and then decided if you want to build a single folder or folders for all of your clients.  If you want to build a single folder, enter the Client ID in the field, or put a "0" in the field to build folders for all clients.

In this sample I will build a folder only for client 1187

Once they were build I clicked the "Open Client's Site" button and it opened the new folder for this client.  Notice that all of the sub folders were also built

Once you have done this you can be sure your site is configured and ready to use.

Using the interface from Junxure

The interface will be available in 4 places

Letter Wizard - When you have selected SharePoint, it will upload the document into the Junxure site and put the appropriate links in the letter history

Letter History - Once you have a letter in SharePoint, you can open that letter from letter history

Edit Action Form - On this form you can create letters and have them go to SharePoint, or you can upload a file from you system into a SharePoint folder.

Documents Tab - From this tab, you can see all of the document in the clients SharePoint site and you can open the clients SharePoint site.

Letter Wizard

When you get to the final part of the letter wizard you will see the SharePoint prompt pop up asking you for a description of the file in SharePoint, enter the description and click OK.

When the form closes your document will be in SharePoint and you can see it from the letter history.

Letter History

On this form you can see your letter histories and you can see that they are in SharePoint.  clicking on the Reprint Letter button will open a browser with your document.  Consult your SharePoint administrator for instructions on editing this document.

Action Form

The action form will work just like a regular Junxure installation except it will upload a file into SharePoint once you have created it.  Also any file that you browse for on the disk to attach to an action will be uploaded to SharePoint also.

Double clicking on a row will open that document in a browser.

Documents Tab

This tab works the same was as a regular Junxure install with one exception.  We also display any and all documents that are in the SharePoint company files.  In this instance I uploaded 5 files separate from Junxure into this clients folders.  Here they are in SharePoint.

When I go to this clients documents tab in Junxure, I can see that all SharePoint documents that were created by Junxure are on that tab, along with any document that was placed into the clients folder in company files on the SharePoint server.  The yellow highlighted files are associated with and action, and the blue highlighted files are files that were just placed into the clients folder.

Clicking the SharePoint button will open the SharePoint site for this client
